Supporting Candidates: Adjusting the Invitation

In most cases, you will not be able to make changes to an invitation once it has been created. There are a few exceptions to this:

  • Illustrait; If your candidate has not yet clicked on the invitation link, you can change the competency set being used for the Illustrait assessment. However, once they click on the link to start the assessment, the competency set is locked in and cannot be changed. If this occurs, you will need to change the competency set in the job, then create a new invitation for your candidate to complete the assessment.
  • Extending the invitation: You can extend your candidates' invitations if they were not able to complete the tasks before the invitation expired.
    • Note however that you can only change the expiration date to a future date. You cannot reduce the amount of time the candidate has to complete the task. If you need to do this, you can either create a new invitation with the correct expiration date for the candidate or advise the candidate that they will need to complete the invitation by X date, not the date listed in their invitation email (if this was included).
  • Release Scores: If your candidate has not completed all the assessments you invited them to complete, you can release the scores for the assessments they were able to complete. You can then invite them to complete the remaining assessments, or move them to a new job or stage to invite them to complete different assessments.

Communicating with candidates

Here is an email template you can send to candidates when you have need to make changes to the assessment selection, which has resulted in the need to send the candidate a new invitation.

Subject: Updated Assessment Invitation - Please Use New Link

Hi [Candidate first name],

Thank you for your application for [Job] at [Company name].

We’ve needed to make an update to the assessment selection for this role. As a result, your original assessment invitation is no longer the correct set of assessments to complete, and we’ve issued a new invitation for you.

Please do not use the link in your original invitation email. Instead, use the new link below to access and complete your assessments:

New assessment link: [INSERT NEW LINK HERE]

Important: If you have already completed some or all of the assessments from the original invitation, you will still need to complete the assessments via this new invitation, as it contains the updated requirements for your application.

If you have any trouble accessing the new link or have questions about the deadline, please reply to this email and we’ll assist.
