Summary of how Criteria integrates with Oracle

  • Candidates may be invited to Criteria packages in 3 ways
    • Inline in the Application Form (Apply Flow Inline)
    • After Application (Apply Flow)
    • Status Change / Candidate Selection Process (CSP)
  • Each Requisition may trigger multiple packages, once during/after the application form and then one or more associated with candidate status values
  • In the case of Assessments, once the candidate has completed their assessment, the scores and report are available to view in Oracle.
  • For Video Interviews, the Evaluator(s) are notified once the candidate has completed their video interview. An evaluator will click a link in the email, or from within Oracle, to access the Criteria platform and complete their evaluation and recommendations. Once the minimum number of evaluators has been reached, the Video Interview Score and Recommendation will be available in Oracle. 
  • This integration supports multiple rounds of testing and offers Assessments only, Video Interview only, both Assessment(s) and Video Interview in the same package, and Live Interviewing.
Limitations of the integration
  • Oracle Recruiting does not allow the package configuration to be edited in the Requisition once it has received its first candidate.
  • Oracle Recruiting does not allow for sorting/ranking candidates according to their Criteria scores. This is on their roadmap.

Integration FAQ: What you need to know

Pre-requisites

You must have the Recruiting Module in Oracle Cloud HCM.

An Oracle user with the following permissions will be required to perform initial set up;

  • Application Implementation Administrator role
  • Recruiting Administrator

How much does it cost to integrate Criteria with Oracle?

Depending on your Criteria subscription level, there may be costs associated with integrating your Criteria platform to Oracle.

Time to integrate

Allow for one week to create and configure the integration within your Oracle account. Some setup steps need to be performed by your Oracle administrator.

Can I trial the integration before I purchase?

Criteria customers must have an appropriate subscription before an integration can be initiated.

How do I maintain my Criteria Jobs/Packages in Oracle?

Criteria Jobs are displayed as Assessment Packages in Oracle Recruiting.

It is not a live package sync, so use the Sync button in your Criteria account to update the packages in Oracle when changes are made in your Criteria account.

Does this integration support assessment and video interviews?

It certainly does! When a testing package is triggered for a candidate, they are sent an invitation to complete the Assessment and/or Video Interview.

If the package contains a Live Interview the evaluators will be emailed to conduct the interview with the candidate. Once the interview has a score, the results become available in your Oracle account.

Can I send invitations in bulk to multiple candidates?

Yes, when the Oracle Requisition is set up to trigger a Criteria package on a specific Phase and State, you can invite candidates in bulk by moving them all into that Phase and State at the same time.

Can I use multiple rounds of testing in my requisition?

Yes, Oracle allows candidates to complete up to 5 rounds of testing, based on the Requisition configuration. The configuration may be different per requisition.

Note: the Requisition configuration cannot be changed once the first candidate has been added to the requisition. Be sure to choose all the packages prior to opening the requisition.

Can I re-use my candidates' previous results for a new requisition?

Yes, if you have the "Reuse Results" function enabled in your Criteria account, you can copy your candidates' existing results to new requisitions. When this option is set, the system will automatically identify if a match is found between the candidate and any existing results for the same assessments.

Where can I use Criteria products in my requisition workflow?

1. Apply Flow Inline - a Criteria testing package can be issued at time of application, the application form is not able to be submitted until the Criteria testing is completed. Once the application is submitted, the candidate becomes visible in Oracle and their Criteria results will be available at the same time.

2. Apply Flow - a Criteria testing package can be issued at time of application, directly after the application form has been submitted. The candidate will be available in Oracle while waiting for the testing to be completed.

3. Status Change / Candidate Selection Process (CSP) - a Criteria testing package can be auto-triggered on up to 4 different stages in the candidate workflow.

When are the invitations sent?

If a candidate is completing testing as part of the application process, an invitation email is not sent as the candidate will be completing the testing immediately.

In all other invitation methods, the candidate will receive a Criteria invitation email (and SMS if enabled in Criteria) to notify them to complete their testing.

Personally Identifiable Information (PII) is required for this integration, for Criteria to be able to send your candidate an invitation email

When do scores appear in Oracle?

The scores will appear in your Oracle account immediately, once the candidate has completed all events in the package.

In the case of an Interview, Oracle will show the status of the interview until the minimum number of evaluations have been submitted, then the score will be shown.

What Criteria results are displayed in Oracle?

For assessments, the following values are provided:

  • Talent Signal
  • Met Score Ranges
  • Validity Checks Failed (if applicable)
  • Overall scores per-test

For video interviews, the following values are provided:

  • Talent Signal
  • Overall Score
  • Recommendations​

If you'd prefer an alternative score be displayed as the primary score field, reach out to Criteria to discuss options.

The ability to hide scores/only show Score Range outcomes (In Range/Out of Range) is an available configuration option.

A link to the Criteria Score Report is available. This will open the PDF report in a new browser tab. If the candidate has completed multiple packages, a separate browser tab will be opened to show the report for each package.

Oracle Flex Fields are available to map custom Criteria data. Your Criteria rep will be able to advise on available fields.

  • PDF or Dynamic Score Reports are supported
  • Summary report only PDF (excludes score reports, Workplace Insights Report, Work Style Report from report bundle)
  • Require Criteria Platform login to access results
